Documentation

All passengers require a valid passport for international travel. Your name on your passport must be an exact match with your air ticket. Please make sure your passport is valid 6 months after your completed date of travel. Also required is a tourist Visa for all visitors to Australia which lets you stay for up to 3 months. Also required is a Visa or ETA for all visitors to Australia which lets you stay for up to 3 months.

If you plan on getting your Visa on your own, you can contact the Australian Consulate directly in order to obtain a visa or Electronic Travel Authority (ETA). You can visit www.eta.immi.gov.au where the process will take about 30 seconds and costs approximately $20.00 AUD payable with a credit card. If you have any questions regarding an ETA/Visa, please contact Heartland Travel.

Flights

We have no group air booked for this competition. Should you require air reservations, please let us know the dates you would like and we will provide you with schedules and prices. You can indicate this on the travel request form located at the bottom of this page.


Please remember that passengers will be permitted to bring liquids, gels and aerosols through security screening at Canadian airports provided that the items are packaged in containers with a capacity of 100ml or less, and that the containers fit comfortably in one clear, closed and re-sealable plastic bag with a capacity of no more than 1 litre (1 quart). One bag per passenger will be permitted.

Any airline frequent flyer number(s) must match the name(s) of the person who is traveling. That passenger is the only one who can accumulate mileage points, and another person's number is not valid. At check-in, please verify that your number has been received by the airline . Airline frequent flyer points cannot be applied against the cost of these group airfares. We advise you to keep your boarding passes until you receive your statement and the appropriate mileage has been given.

Bicycles with Air Canada:

Bicycles are accepted on a space available basis only and should be pre-registered at time of booking. Each bicycle counts as one piece of baggage towards the maximum number of checked bags allowed by your fare type. Bicycles are subject to a $50 CAD/USD handling fee (plus applicable taxes) for carriage on all Air Canada and Air Canada Jazz flights. The fee is charged for one-way flights and for each way of travel on round-trip and multi-segment flights. If your baggage count (bicycle + number of bags to be checked) exceeds the maximum number of items allowed by your fare type, you will be charged excess baggage fees in addition to the fixed handling fee. Please note that a single handling fee is waived for Latitude and Executive fare customers for travel within Canada, and between Canada and the US. Excess baggage rules still apply.

The bicycle must be placed ½ with handlebars fixed sideways and pedals removed ½ in a rigid and/or hard shell container specifically designed for shipping or (when transporting collapsible bicycles) in a bicycle suitcase. If not packaged in a container, Air Canada will provide a plastic bicycle bag and will accept the item with a signed limited release.

Accommodation – Mounts Bay Waters Apartment Hotel

Mounts Bay Waters Apartment Hotel is Perth’s only 4-star full service apartment hotel which consists of 200 beautifully appointed 1 and 2 bedroom fully self-contained hotel apartments in a village style environment completed by gardens, swimming pools, and tennis courts. Ideally located between Kings Park and the Swan River, and just a few minutes’ walk to the city centre, the Mounts Bay Apartment Hotel is the perfect stay!

Hotel amenities: Complimentary parking, 24-hour reception, daily laundry and dry-cleaning, pantry service, daily room cleaning, business services, on site convenience store, onsite coffee shop and bar, 2 swimming pools, 2 gyms, and 2 tennis courts.

Room amenities: Private facilities with bath/shower, remote control color TV, direct dial phone with data port, individual control air-conditioning, hair dryers, radio alarm, refrigerator, tea/coffee making facilities, self-contained kitchen with microwave, oven, hotplates, toaster, and laundry facilities (washing machines, dryers, iron, ironing board) in each apartment.

We have limited 1 and 2 bedroom apartment units available to book. The room configuration for a 1-bedroom apartment is 1 king bed and 1 sofa bed with the maximum amount of people allowed is 2. The room configuration for a 2-bedroom apartment is 1 king bed, 1 twin bed, and 1 sofa bed with the maximum amount of people allowed is 4.

Our room block is from October 19-26. If you wanted to arrive a day or two earlier and/or stay a day or two longer, please contact us prior to making your travel arrangements so we can request this to the hotel on your behalf. There is a minimum of 5 nights (nights of October 21-25) that must be booked at this hotel; stays shorter than 5 nights are not permitted.

Limited numbers of rooms are available. Rooms will be reserved upon a first come, first served basis.

Optional Insurance Package Information

This coverage is strongly recommended. Please note that for some previous competitions, passengers declined the purchase of insurance and subsequently had to cancel their travel plans due to unexpected accidents. Air and hotel cancellation penalties took effect and considerable sums of money were lost. See what type of coverage is applicable to you and then make your decision accordingly. Note that the amount of coverage provided for baggage and personal effects is usually not enough to cover the value of your bike. The insurance offered here is not designed to cover high-valued items such as bikes, cameras, jewelry or the like. These items should be covered separately on a dwelling or homeowner's policy.talk to your local insurance company about this. Break down the cost of insurance for your trip on a per-day basis, and you'll see that it is economical coverage that also buys you peace of mind.

1) Deluxe Package Insurance
This insurance covers you for emergency medical costs that you may incur while out of Canada; it also covers for any cancellation penalties you may be required to pay in the event that you have booked and paid for everything, and then can't go due to an unexpected medical reason. The key word is "unexpected"... the insurance will not cover for existing medical situations, or if you simply change your mind and don't want to go.   In addition, the insurance will also cover you if someone in your immediate family becomes ill, due to unexpected medical reasons, and this prevents you from traveling. Terms and conditions are as per RBC's insurance policy.   In the event of a claim, RBC Insurance will require a doctor's certificate to substantiate the claim.


Deluxe Package Insurance covers for the following:

  • Trip cancellation & interruption   (i.e. covers for air and/or hotel cancellation penalties that may apply)
  • Subsistence allowance of up to $3500.00 at the destination if you cannot return as originally scheduled
  • Unlimited hospital, medical coverage
  • Air flight accident insurance up to $100,000
  • Travel accident insurance up to $50,000
  • Baggage & personal effects insurance up to $1000.00 (subject to a maximum value of $500.00 for any one item or set of items), and delay of baggage up to $400.00

2) Non-Medical Package Insurance
This option is for those who already have out-of-country medical coverage. You are insured for everything that the Deluxe Package covers, as shown above, except for unlimited hospital, medical expenses.

Remember that the prices vary when you factor in your airfare costs, your age as well as the total number of travel days you are away from your home. The terms and conditions are as per RBC’S Insurance policies. Policy exclusions apply as far as pre existing medical circumstances are concerned.


Payment Schedule

A fully completed Travel Request Form, including credit card information is required to reserve your air and/or hotel space. Incomplete forms will not be processed . All athletes must fill out the travel request form that are booking through us .

Deposit

A non-refundable deposit of $300.00/person is due at the time of booking , as well as the cost of insurance if that option has been selected. We will only respond to all fully completed Travel Request Forms and confirm your booking request.

Final Payment

Full payment is due by July 31, 2009. If space is available, reservations after this date require full payment at the time of booking . Payment for airfare, insurance, and/or hotel accommodations can only be made by a certified cheque, MasterCard, or Visa.

Changes after July 31, 2009

After confirmation and final payment has been taken for your booking, any name changes or changes/additions to the land arrangements are subject to a $50.00 change fee . Once ticketed, the airfare is subject to change/cancellation fees.

Cancellation Charges

From July 10 to departure: Total package (air and/or land) is non-refundable . There is no refund for unused hotel nights or other prepaid travel services. Insurance is strongly recommended.
